How Zeemaa Prices an Event
Every event is a different number, so this page gives you the structure instead of a price list. The five lines that make up a quote, what is included before you ask, what costs extra, and what makes the figure move. Send us your event data and you will hear back within 24 hours.
Five Lines. That Is the Whole Quote.
There is no price list on this page because a published rate would be wrong for almost every event that reads it. What does not change is the structure. Every Zeemaa quote is built from these five lines, each one shown separately, with nothing folded into a round number at the bottom.
Platform and event setup
One charge per event for the build. Your registration pages in Arabic and English, the form fields and attendee categories you need, your badge design, and the testing we do before anything goes live. Priced per event, not per month. You are not signing up to a subscription you keep paying for between events.
Registration and check-in, per attendee
This covers each attendee record, their QR code, the scan at the gate, and the live numbers you watch on the day. Your quote states whether we are counting registrations or people checked in, and we agree that in writing before the event rather than after it.
On-site crew, per person per day
Our own trained crew, on your desks, for the days you need them. Crew is on every quote we write. It is shown as its own line so you can see exactly what you are paying for, rather than buried inside a platform fee. Crew travel and accommodation sit inside this line when your event is outside Riyadh or Dammam, and we show you the working.
Badges and consumables, per attendee
Badge stock, lanyards, category ribbons, and printer consumables. Reprints for lost or damaged badges are part of this line, not a second charge on the day.
Setup and rehearsal day
The day before doors open. Crew travel in, printers and scanners are set up and tested on your venue power and network, and we run a full check-in rehearsal. It is charged as a day because it is a day of work. Not every event needs one, and we will tell you if yours does not.
What You Do Not Pay Extra For
A software vendor sells you a licence and leaves you to find people to run the desk on the morning. That is the gap most of these items sit in. None of the following is an add-on line on a Zeemaa quote.
Our crew on the desk
Every quote includes our own crew running check-in and badge stations, briefed on your event and your access tiers before they arrive. You are not hiring and training a desk team.
Badge printing and reprints
Badges print on demand as people arrive. If one is lost, damaged, or spelled wrong, we print it again on the spot at no extra charge.
Arabic and English, everywhere
Registration pages, badges, certificates, and every email and message, in both languages with proper right to left layout. Not a localisation add-on.
Your data, exported after
A full export of registration and attendance data once the event closes, in a format you can actually open and use. It is your data. We do not charge you to get it back.
Testing before you go live
We run the whole flow before launch: forms, confirmation emails, QR scans, printers, badge output. You see it working before your attendees do.
Live numbers on the day
Registrations and check-ins in real time while the event is running, so you are not messaging us for a headcount.
What Costs Extra, Said Up Front
These are real add-ons. Each one is quoted per event and only appears on your quote if you ask for it. If your event does not need one, it is not on the paper and you are not paying for it.
White-label delivery
The platform, the emails, the badges and the crew carry your name and not ours, down to unbranded uniforms on the desk. We have run it end to end. It is a paid option, not the default.
Ticketing with payments
Paid tickets through certified Saudi gateways, with tiers and early-bird pricing. Priced separately because it involves payment handling and reconciliation. Gateway fees are set by the provider and are not ours to waive.
Event website
A landing page or a full event site on your own domain, with agenda, speakers and sponsors, and registration wired in.
Certificates
Branded certificates issued automatically after the event to attendees, speakers and participants, in either language.
RFID credentials
QR is the default credential on every event and it is included. RFID wristbands or cards are available where a gate genuinely needs them, and they cost more per attendee.
Rush build
A standard build takes 5 to 7 business days. If your event is sooner than that we can usually still do it, and it is priced as rush work rather than quietly refused.
Six Things That Move the Figure
If you know these six answers, our quote will be accurate the first time instead of the third. If you do not know them yet, say so on the form. A rough answer is more useful to us than a blank.
How many people actually arrive
Registrations and arrivals are never the same number. Tell us both what you expect and what you are planning for, and we will build the desk for the busier of the two.
How many days, and whether you need a setup day
Crew and consumables scale with days. A two day conference with a rehearsal the night before is three days of crew, not two.
Where the event is
We are based in Riyadh with operations in Dammam. Anywhere else in the Kingdom means crew travel and accommodation, and that sits visibly inside the crew line.
How fast people arrive
A thousand people across four hours is a completely different desk to a thousand people in the first twenty minutes. Arrival pattern decides how many stations we open and how much crew stands behind them.
How many attendee categories you have
VIP, speakers, exhibitors, media, staff, general. More tiers means more badge designs, more access rules, and more checking at the gate.
What you already have
If you already run a ticketing platform, own badge stock, or have a site you want to keep, tell us. We will scope around it rather than sell you a second one.
From Your Numbers to a Written Quote
No meeting required first. If you would rather talk it through, book a demo instead and we will price it afterwards.
You send the event data
Ten fields on the form below. Attendees, days, city, and what you need. That is enough for us to start work, and you do not have to have a final brief or an approved budget.
We price it line by line
We build your quote against the five lines above. Anything your event does not need is left off rather than padded in. If something is genuinely uncertain we say so on the quote instead of hiding it in a total.
You get it within 24 hours
One document, quoted in SAR excluding VAT which we add at the standard rate, with every line visible. If we still need an answer or two before we can price it properly, you will hear that inside 24 hours as well, not a week later.
Tell Us About the Event
Ten fields. If you do not know an answer yet, choose not sure and we will work with it. We reply within 24 hours.
Questions About Cost
The things organisers actually ask us before they ask for a number.
Because a published rate would be wrong for nearly every event that reads it. The cost of an event is driven mostly by how many days our crew is on your site and how many people walk through the door, and those two numbers change everything. We would rather show you exactly how the quote is built and then price your event properly, than post a number that turns into a different number later.
No fixed minimum, but there is a practical floor. A small event still needs a platform build, crew on the desk and a setup day, so the cost per attendee on a 150 person workshop is always going to be higher than on a 1,500 person conference. If we think a full on-site setup is more than your event actually needs, we will tell you that rather than sell it to you.
No. We quote per event and you pay for the event you ran. There is nothing to cancel between events. If you run several events a year, tell us all of them at once and we will price them together, which comes out lower than quoting each one cold.
Crew is on every quote we write, and it is our own crew. We show it as its own line so you can see what you are paying for instead of finding it buried inside a platform fee. What we do not do is sell you the software and leave you to find and train people to run the desk on the morning. That is the part most organisers underestimate.
The attendee data is yours. You get a full export of registration and attendance once the event closes, in a format you can actually use, and that is included. We do not hold your data hostage and we do not charge you a fee to leave.
Tell us. Attendee counts moving is normal and we plan for it. Before the event we re-issue the quote against the same five lines, with no change fee for the privilege. If numbers move once we are already on site, we settle against the actual counts afterwards and you see the working.
Send us the event, get the number.
Ten fields. A written quote back within 24 hours, or the questions we need answered to write one.
